ABOUT THE ROLE

The Transparency International Secretariat is seeking a HR and Recruitment Assistant (m/f/d) to join the People and Culture Team. 

OVERVIEW OF KEY DIMENSIONS

Role Purpose: As part of a small team providing People and Culture support to TI Secretariat (TI-S) with approximately 110 international staff, the HR and Recruitment Assistant is responsible for the various administrative HR issues that arise in the organisation on a day-to-day basis. This includes the independent coordination of payroll services and the overall HR administration covering all aspects of the employee life cycle, including the onboarding of new employees, administration of contracts and insurances and the execution of exit interviews. The HR and Recruitment Assistant is a point of contact for new and existing staff members in providing information, support and guidance in all HR matters and ensures the accurate recording of all relevant information and processes.

Band:  salary according to TI-S internal salary structure; for this position corresponding to band PF2, depending on relevant experience

Starting Date: as soon as possible

Contract Duration: Currently we can offer an employment contract limited for a duration of 1 year. There is a prospect of extension subject to organisational need continuing, performance proven and funding confirmed and there is interest in a stable and long-term cooperation.

MAIN ACCOUNTABILITIES OF THE ROLE

Based in the People and Culture Team and reporting to the Head of People and Culture, the HR and Recruitment Assistant will:        

  • Coordinate day-to-day operational HR processes ensuring key internal processes are completed in an efficient and timely manner and recommend changes and adjust as needed
  • Work closely with the Hiring Managers to continuously improve recruitment process, from preparation of the requirement profile to the selection of suitable channels, the design of the selection process to decision-making and onboarding.
  • Keep abreast of changes in HR laws and regulations (e.g. social insurance, pension, tax, insurances, etc.) and keep all relevant stakeholders informed
  • Coordinate and ensure processing of all issues related to “place of work” (e.g.  application for residence and work permits)
  • Issue contracts, works council hearings, official statements, references, insurance applications and claims, etc. in line with official deadlines and legal requirements
  • support the HR induction for new staff members and support for onboarding process with all relevant information regarding legal and administrative requirements for living and working in Germany
  • Ensure work deliverables meet quality standards and proactively seek input from relevant external experts if needed
  • Respond to internal requests by staff and/or managers analysing and providing solutions in a timely manner
  • Coordinate and/or contribute to HR related projects and coordinate and/or provide input on the development of HR policies, guidelines and procedures taking into account legal requirements and best practice
  • Coordinate the organisation of institutional meetings and events (incl. internal and external trainings for staff)
  • Contribute to the overall functioning of the People and Culture Team providing proactive and ad hoc support as needed

 

 

CANDIDATE PROFILE

In order to succeed in this role, candidates will need to meet the following:

  • 2-3 years of formal education (e.g. apprenticeship, vocational education) or relevant undergraduate degree
  • 5+ years of relevant professional experience including HR administration (incl. preparatory payroll) and related tasks
  • In-depth knowledge of the German Labour Law, social security, payroll and related required
  • Experience with international organisations and multi-cultural work environments an advantage
  • Flexible and adaptable, able to handle multiple tasks across a wide range of issues and work under pressure
  • Ability to communicate effectively with both internal stakeholders and external partners, service providers, etc.
  • Professional language proficiency in both English (organisational language) as well as German essential
  • Good analytical, consultation and problem solving skills with a high level of accessibility and trustworthiness
  • Proactive attitude and a desire to identify and contribute to continuous improvements especially in the area of HR processes and procedures
  • Good knowledge of MS Office (in particular Word, Excel and PowerPoint) and familiarity with HR systems/software
  • Proven ability to handle confidential information with a high level of organisational awareness and sensitivity
  • People and service-oriented attitude and intercultural awareness and respect for diversity
  • Commitment to the values and principles of Transparency International
